SHIFT SCHEDULE:  Monday to Friday

ABOUT THE ROLE:

We are currently offering a permanent position for an experienced project assistant/administrator. Below is the project assistant job description, detailing responsibilities for end-to-end project coordination and administration across various projects within the Defence projects team. This position will be based in Tomago.

PROJECT ASSISTANT RESPONSIBILITIES:

  • Prepare tender documentation.
  • Raise and issue quotes, purchase orders, and other documentation.
  • Cross-check quotations, client orders, and job tracking.
  • Maintain customer information and the database.
  • Maintain electronic filing systems, project documentation, and contract registers.
  • Organise project meetings, agendas, and minutes.
  • Maintain spare parts catalogues and pricing.
  • Assist Project Managers with tasks across multiple projects.
  • Assist in the preparation of financial and project status reports.
  • Perform general administration duties such as data entry, filing, scanning and printing.
REQUIREMENTS:
  • Previous experience as project assistant or in project administration/coordination.
  • High attention to detail.
  • Strong communication and interpersonal skills.
  • Proven experience as an analytical thinker and problem-solver.
  • Demonstrated experience in managing multiple deadlines.
  • Ability to consistently follow procedures.
  • Advanced MS Office Suite experience.
  • Ability to work in a fast-paced environment.
REMUNERATION:
  • $35 – $40 p/h plus Super and Bonuses
